FIVE THINGS TO KEEP IN MIND WHEN PLANNING A HOLIDAY EVENT
KNOW WHEN TO HIT YOUR MARK
You might think that Christmas is the perfect time to plan your holiday event, right? Well that’s not necessarily the case, but it also is… Okay before you start scratching your head thinking when should I plan my event then? Take a minute to think, what event am I planning and for whom? Are you planning an event for families, a corporate event, a wedding, a festival, etc.? All these things should be kept in mind and planned beforehand.
To help you plan your event let’s look at some numbers below!
Okay so what does this show? We used a little tool called Google Trends. This tool allows you to monitor when keywords are most popular and specifically when. We searched for family events nyc and what we found is the most common times for this search occurred between November 26th – December 2nd & December 17th – December 26th (2017). Now why these two blocks of time were the most popular are due to many factors, however these are times when people are getting ready for but are still not yet celebrating New Year’s or Christmas. It’s when people are not traveling yet, but still looking for things to do. So, if you want to hit a family event and get a maximum amount of people showing up try planning your holiday event around these time blocks for 2018! You can look up your type of event using Google Trends to get a rough estimate of when people are looking for that keyword.
SET A REASONABLE TIME AND DATE
This also depends on who you are targeting, but some of the best times are Thursdays, Fridays, and Saturdays. Be honest with yourself, do you start to slack off on Thursdays because you feel the weekend is right around the corner? I certainly do! Set a time right after work hours, Thursday at so-and-so plaza, 8:30 PM. If you’re planning a corporate event Thursdays and Fridays generally work best. Who wants to go to work on a Saturday?
If you’re planning a family event, Fridays and Saturdays work best because that’s when families have time off. If you’re working with younger kids, please don’t schedule it at 9 PM. However, if you are targeting older crowds set it at 9 PM or if you are going after the more extreme kind of adolescents maybe start at 10 PM – 11 PM. This is when the younger crowd of NYC are traipsing around town, especially around the holiday season. All these things should be kept in mind!
MARKET YOUR EVENT EFFECTIVELY
If you’re just planning a small family event with some friends over, you don’t have to worry too much about effectively marketing your event. Although it might help make your friends and or family want to attend your event even more. Let’s go over a few marketing techniques to get your holiday event more attendees.
- Use effective images. You might think that writing a good list of reasons to attend your event and posting it on Facebook will do the trick, but the reality is images speak louder than words. A simple rule to keep in mind is 100% of people will look at your image. You could have a unique party with lots of features, but if you don’t have an eye-grabbing image you will lose a huge number of potential attendees. Have your image make the user feel a certain way. Make them excited and interested.
- Use a catchy headline. 80% of people will look at your headline, and if it isn’t effective you’re again losing a huge number of potential attendees. A good rule to keep in mind is that starting your headline with a verb is one of the most optimal copy writing techniques. Be sure to also create a sense of urgency to make people feel they must take the opportunity ASAP. “GRAB A DRINK AT JOHN’S CHRISTMAS PARTY THIS SATURDAY AT 10” already I attracted the younger audience and created a sense of urgency.
- POST ON SOCIAL MEDIA! It doesn’t matter whether you’re planning for adults, or college kids, there is no excuse for not posting on social media! Everyone is one at least one social media platform these days. The older generations are typically more involved on Facebook and Twitter, while the younger generations are more active on platforms such as Instagram and Snapchat. If it’s going to be a big event, make sure everybody knows about it! Livestream the event on Facebook, YouTube, and or Instagram to engage with the world. Especially since people are interested in holiday offers anyway, market yourself effectively and people will chime like crazy.
IF IT’S GONNA BE BIG, DON’T DO IT YOURSELF
If you’re planning a huge event of several hundred to a thousand people, please don’t think you can be superman and do everything yourself. Okay, maybe if you just want friends and family over and a few of their friends do it yourself, but if you’re planning a corporate event, wedding, or music event please get others to help you out. There are many great catering companies, photographers, and event managers out there. If you’re planning a huge holiday party give these companies a call!
Remember, outsourcing the things you can’t do will save you time and the frustration of figuring everything out yourself. Having trouble with entertainment? Wedding at Perona Farms Andover NJ
Alex and Jess were married last weekend at New Jersey wedding and event venue Perona Farms and we were fortunate to provide the music for the Ceremony, cocktail hour and Reception with our DJ Dave Swirsky. This was a memorable wedding as you could tell every guest there was so happy to celebrate with them. The ceremony took play across the street from the venue in their Orchard outdoors. It was elegant and beautiful.
When the ceremony was over guests walked across the street to cocktail hour and a huge buffet of cocktail food. DJ Dave provided a custom list of music that played thru his Bose speaker. After the cocktail hour everyone came in to the main space for the reception that really was a 4 hour non stop dance party. All ages danced to many styles of music that dj Dave seamlessly put together.

The Best Man gave an incredible toast (thoughtful and funny) and even danced a little with the Groom!!!!
DJ Dave played “Wishin and Hopin” by Dusty Springfield while Jess the Bride threw the Bouquet.

We used Expressway to DJ our wedding ceremony and reception last week at Perona Farms in NJ. David Swirsky was wonderful!! He showed up to our venue 2 hours in advance of the start of our ceremony to set up and he did a fabulous job! He spoke with my husband and I in advance of the wedding and really took our wants and likes into consideration. He made sure to play almost everything on our request list. Expressway’s database to customize a request list is quite extensive! David did such a professional and expert job of combining the tastes of all of our guests as It appealed to all kinds of musical interests and balanced English and Spanish music. Our guests, particularly myself, danced the entire night!! Everyone truly enjoyed themselves and commented afterward how much fun they had. David is such a professional and kind guy! He had just as much as fun as we did and It showed!!
South Salem NY Wedding
We haven’t been to this venue ever since they recently completed a 10 million renovation! It is now almost a Perfect venue. When the weather is nice you can have your wedding reception on the side of the house in the courtyard like this:
I set up my DJ rig and speaker in the back by the Chateau’s side door. (i also supplied the Officiant with a microphone). I played Pre ceremony music (as guests arrived) Canon in D for the Bridal Party, The Book of love instrumental for the Bride and her dad and the “all you need is love” (the Beatles song as done byed the Vitamin String Quartet)
After the ceremony the party moved inside to cocktail hour (passed Hor Dourves). My assistant Cole hooked up a custom made play list on my Ipad to our portable Bose speaker inside for cocktail hour.
After cocktail hour guests moved into one of the more beautiful Ballrooms upstate. With the sun coming down and the reflections hitting the room it truly set a mood and you knew it was going to be a special night.
This was a straight on dance party once we opened up the dance floor. Guests did not stop dancing. Check out what the Bride had to say just two days after the wedding she send me this very kind email

The Brenizer’s (Tatiana and Ryan) were the photographers on this wedding. I have DJ’d many weddings and events with them and you really couldn’t have two more lovely, down to earth people on your wedding as them. They are also world class talented.
As you can see from some of the photos above Le Chateau is a 5 star venue and perfect to have your event at. The maitre de was Debbie who could not have been more helpful or pleasant.
Battery Gardens Wedding
We are hired to DJ many weddings at the Wonderful event space Battery Gardens. We always look forward to it because of how well it is run by Alex and Eddie. This wedding was no exception. It was a smash hit from the start with both families and friends being so supportive of the Bride and Groom and an amazing crowd that danced all night. Here is a video of our DJ Dave introducing the Bride & Groom into their first dance L-O-V-E by Nat King Cole.
Korean Tea Ceremony
Towards the beginning of the reception there was a traditional, elegant Korean Tea Ceremony. Jessica, the emcee for the tea ceremony, did a wonderful job explaining the meaning of everything and keeping guests involved and interested.
Toasts and Dancing
Because of the shape of the upstairs at Battery Gardens we AlWAYS bring an additional speaker with a microphone close to where guests are sitting. This way no one giving a speech has to strain and speak extra loudly and guests can hear everything being said clearly.
Guests were all about having fun. Guests were mostly in their 20’s and 30’s however there were guests whom were older and they dance a lot also because DJ Dave kept the music choices diverse and fun!
DJ NJ Wedding Events
Expressway Music Disc Jockey Gregory was a busy man last weekend where on Friday night He DJ’d the Wedding Rehearsal after party and then the Wedding after party the next day at the Family house in Silver Lake NJ. Here is our DJ Greg before guests arrived in the room Friday Night.
DJ Greg has a knack for getting guests dancing quickly and for long periods of time! The Bridal party couldn’t have had a better time!
It was like this all night on Friday and this was before the actual wedding on Saturday!!!!
The Wedding after party on Saturday was under a tent, by the pool at the family house in Silver Lake NJ.

It’s not easy to dj two days straight for the same clientele however Greg nailed it and got nothing but raves from the Bride and Groom and guests!!!
Blooming Hill Farm Wedding
Dan and Heather had a truly fun wedding Saturday Night at Blooming Hill Farm. It rained so much during the ceremony and cocktail hour that by the time guests were ready to come into the tent for the reception the entire grounds were drenched! I had to have a large piece of wood to stand on because everything was just too wet. Here are a few photos from that night.
I provided DJ and Karaoke for this wedding and there was no shortage or break in dancing and singing!! I love the following video particularly. The Bride is singing “Love Story” by Taylor Swift as her bridesmaids sing along. During the last Chorus Dan, the groom, joins in. It was a special moment!
While there was a lot of dancing on it’s own, guests even danced when Karaoke was being performed. Watch Uncle Ed’s rendition of “Shake Shake Senora” by Harry Belafonte.

There are not enough nice words I could say about Dave and his team! They are absolutely AMAZING!!! I had a very specific vision for a karaoke wedding, and was unable to find any DJ who could really understand what I wanted. After having one conversation with Dave I knew I had found my DJ! He really understood exactly what I wanted, and he delivered perfectly! So many people came up to me afterwards commenting on how well our DJ flowed seamlessly between karaoke and dancing and did not miss a beat!! Dave is a great guy, and truly loves what he does, and exudes this when he works your wedding! His passion and enthusiasm are contagious and he got every person dancing (even on our muddy dance floor!) the entire night! I am so thankful I found him to work our wedding and would recommend him to anybody who has an event coming up!

The Wedding Planner

When guests arrived they were greeted to the music of Expressway Jazz Trio “5th Ave Jazz“. The Trio played the Wedding Ceremony in the Courtyard and then added two players and the quintet played cocktail hour an inside/outside space nearby.
Disc Jockey for Reception
I was the DJ for this wedding and the guests were amazing. Once the dancing started it did not stop all reception long. I seamlessly mixed through styles from classic rock to hip hop to pop to latin to reggae and keep all ages dancing. It was so much fun.

Rooftop wedding at Aretsky’s Patroon
I DJ’d at one of my favorite venues last Saturday night (Aretsky’s Patroon) in midtown. What makes Aretsky’s stand out from many other unique NYC venues is a few things. The food is outstanding. A lot of care is put into both the food preparation and presentation. It is quite impressive. They also a truly cool rooftop Bar that hosted both the Wedding Ceremony and Wedding Reception (in between guests go downstairs for dinner, toasts and desserts..they come back upstairs for dancing). The staff is also quite exceptional. These folks work HARD but do it with a smile. It’s obvious everyone at Aretsky’s has a lot of experience with Customer service and hospitality.
During the Wedding Ceremony the Bride’s brother played guitar and sang (and did a great job). After the ceremony everyone stayed on the Rooftop for cocktail hour and I dj’d. When guests went downstairs for dinner my assistant, Chris, and I moved my DJ set up by the dance floor for when guests came back upstairs for dancing. Here is a photo of me and my Bose Set up.
This was a particularly fun wedding party who danced from the second they came back upstairs to the roof from dinner! Here is the last song of the night…from “Rent”…”Seasons of Love”

A NYC Wedding
Weddings are special anywhere you have them but there is something about a NYC wedding on Park Avenue that makes in especially unique. Jennifer and Rich had a magical wedding at The Harold Pratt House on Park Avenue. The weather was perfect and all the 5 star vendors they hired were outstanding. Below is a video of one of our most requested Pianists (Marc) playing “How High the Moon” during Cocktail hour upstairs on a Baby Grand Piano!

The Harold Pratt House is an ideal place to hold your wedding or event. The staff is beyond professional and are extremely friendly and detail oriented. The caterer for this wedding was the incomparable Feast and Fetes.

Please look no further than Expressway music for all of your wedding music needs. We are recent newlyweds and found Expressway through a recommendation from our wedding planner (our wedding was at the Harold Pratt House in Manhattan). We met with Dave and immediately knew we were in good hands. He listened to our music tastes, got a sense of our guest list and talked about the vibe we wanted for the reception. We also hired (through Expressway) Marc, a pianist, to play for our cocktail hour. Marc set the tone with upbeat, fun, and inviting tunes. Our guests felt welcome and ready to have a good time!
